Preparing for Pilot Instructor Training (PIT) at Randolph AFB requires careful planning, especially when it comes to your travel arrangements. When I went through we had to figure it out on our own- there was no 'PIT DTS Guide' or how-to. So, we made your comprehensive guide to setting up your DTS authorization and managing your extended TDY stay.
PIT DTS Guide Step 1- Setting Up Your DTS Authorization
**Initial Profile Setup**
Before creating your authorization, log into DTS at and verify your profile information[1]. Ensure your:
- Government Travel Card information is current
- Banking information is accurate
- Email address is up-to-date
- Personal information matches your records
**Creating Your Authorization**
1. Select "Create New Document" and choose "Routine TDY Trip"[1]
2. Enter Randolph AFB as your TDY location (not San Antonio)[1]
3. Select "Mission-Operational" as your travel purpose
4. Input your PIT class dates as shown on your orders
Lodging Guide for your PIT TDY
**On vs. Off-Base Options**
Randolph AFB offers on-base lodging, but most PIT students choose off-base alternatives, such as crash pads, otherwise known as Pit Pads at Randolph. Current rates are $96/night for visiting officer quarters (VOQ)[4]. Popular off-base options include Pit Pads like Downwind Beach House
**Downwind Beach House Benefits**
- Private bathrooms
- Full garage gym
- Pool and outdoor kitchen
- Located 10-20 minutes from base[4]
- Stays within per diem rates[4]
Completing Your Authorization
**Transportation**
- Include your flight arrangements if flying
- If driving POV, calculate mileage to Randolph AFB
- Include rental car if authorized
**Required Documentation**
- Upload your training orders

- Add justification for off-base lodging if choosing that option
Voucher Process
**During Your Stay**
- Keep all receipts over $75
- Document any changes to your itinerary
- Track actual lodging expenses
**Filing Your Voucher**
1. Create voucher from approved authorization
2. Update actual expenses
3. Upload lodging receipts
4. Separate hotel taxes from room charges[1]
5. Add any additional expenses incurred
6. You'll most likely have to create and file accrual vouchers due to the lengthly TDY, so here is more information on that.
Important DTS Tips
**Extended Stay Considerations**
- Your PIT assignment may change dates; most lodging facilities are flexible with extensions[4]

**Local Information**
- The base is located in Universal City, Texas

Remember to submit your authorization at least 72 hours before travel to ensure timely processing[1]. Monitor your DTS email for any returned documents or required corrections throughout your stay.
